How to reduce no-shows with appointment reminders

By The WentBack team · · 1 min read

Every no-show costs you twice: the time you set aside sits empty, and someone who wanted that slot didn't get it. Most no-shows aren't rude, they're forgetful. The appointment was booked weeks ago, the day got busy, and the customer only remembered when it was too late. A reminder at the right time solves most of this, especially if it makes confirming or rescheduling effortless.

The reminders that work best are simple. Send one the day before, with the time and your business name, and ask the customer to reply to confirm. Offer a quick way to reschedule, because a customer who moves their appointment is far better than one who doesn't show up. A short same-day reminder helps for early-morning or high-value bookings. And when someone does miss an appointment, follow up kindly with a link to book again, rather than letting them disappear.

WentBack sends those reminders automatically by text, WhatsApp, email or an automated phone call where customers can press 1 to confirm. Replies come into one inbox, so your team sees who's confirmed and who needs a nudge. Customers who need a new time can pick one from your booking link, and the missed-appointment follow-up goes out on its own. Fewer empty slots, fewer phone calls, and a front desk that isn't spending its morning dialling.
